The security of your data matters enormously to us. Everything you upload or connect to Sellernavigator.ai — your sales figures, your advertising spend, your inventory levels — represents real business intelligence that you have worked hard to build. We treat that information with the same care we would want applied to our own business data, and we never use it for anything beyond running the platform for you.

Sellernavigator.ai is operated by Veritas Analytica (referred to throughout this document as “Veritas,” “we,” “us,” or “our”). This Privacy Policy explains exactly what personal and business data we collect, why we collect it, how we process it, who we share it with, and what rights you have over it. We have written it in plain language so that you can actually read and understand it, not just scroll past it.

1. Definitions

The terms below are used throughout this Privacy Policy. We have taken the definitions directly from the General Data Protection Regulation (GDPR), which provides the clearest and most internationally recognised framework for data protection concepts. Understanding these terms will help you make sense of everything that follows.

a) Personal Data

Personal data means any information that relates to an identified or identifiable living person. A person is identifiable if they can be identified directly or indirectly — for example, by name, an identification number, location data, an online identifier, or by reference to factors specific to their physical, physiological, genetic, mental, economic, cultural, or social identity. If we can link a piece of information back to you as an individual, it is personal data.

b) Data Subject

A data subject is any identified or identifiable natural person whose personal data is being processed. In the context of this policy, data subjects include our users, the individuals who register for Sellernavigator.ai accounts, and any other person whose data we handle in connection with operating the platform.

c) Processing

Processing covers virtually any operation performed on personal data — collection, recording, organisation, structuring, storage, adaptation, alteration, retrieval, consultation, use, disclosure by transmission, dissemination, making available, alignment, combination, restriction, erasure, and destruction. Whether we are storing your email address or running a query against your Amazon sales data, that is processing.

d) Restriction of Processing

Restriction of processing means that stored personal data is marked so that it will not be actively used in the future, without being immediately deleted. This typically happens at a data subject's request while a dispute about accuracy or lawfulness is being resolved.

e) Profiling

Profiling means automated processing of personal data to evaluate, analyse, or predict things about a person — such as their economic situation, preferences, behaviour, or location. Sellernavigator.ai uses AI to generate business insights from your Amazon data, but this AI analysis is directed at your product and campaign performance, not at building a profile of you as an individual.

f) Pseudonymisation

Pseudonymisation is a technique that replaces directly identifying information (like a name or email address) with an artificial identifier, so that the data can no longer be attributed to a specific person without consulting a separate reference file held under strict controls. We apply pseudonymisation to certain internal analytics and logging data where possible.

g) Controller

The controller is the entity that determines the purposes and means of processing personal data — essentially, the organisation that decides why and how data is processed. For this policy, Veritas Analytica is the controller for personal data collected through Sellernavigator.ai.

h) Processor

A processor is any entity that processes personal data on behalf of the controller. We use a number of third-party processors — such as our cloud infrastructure provider and payment processor — who handle personal data solely on our instructions and under contractual obligations.

i) Recipient

A recipient is any person or organisation to whom personal data is disclosed. This includes our processors, but also government authorities that may be entitled to receive data under applicable law. Public authorities receiving data pursuant to a lawful inquiry are not considered recipients in the ordinary sense under GDPR.

j) Third Party

A third party is any person or entity other than the data subject, the controller, the processor, or persons who are authorised to process personal data under the direct authority of the controller or processor.

k) Consent

Consent means a freely given, specific, informed, and unambiguous indication of a data subject's agreement to the processing of their personal data, expressed either by a clear affirmative action or an explicit statement. We rely on consent for certain processing activities, such as sending you marketing emails. You may withdraw consent at any time without affecting the lawfulness of processing carried out before the withdrawal.

3. Data We Collect and Why We Collect It

We collect different categories of information depending on how you interact with Sellernavigator.ai. Below, we explain each category, what it includes, and why we need it.

3.1 Account Registration Data

When you create an account with Sellernavigator.ai, we ask for your full name, email address, company name, and a password. We need this information to create your account, verify your identity, communicate with you about your subscription, and send you important service notifications. This data is processed based on our contract with you (Article 6(1)(b) GDPR).

We store the IP address and timestamp of your registration. This is not used for tracking or profiling — it is retained purely so that we can investigate any suspected misuse of the registration process and, if necessary, assist with law enforcement enquiries. The storage of this technical registration data is based on our legitimate interest in maintaining the security and integrity of the platform (Article 6(1)(f) GDPR).

3.2 Amazon API Data

Sellernavigator.ai integrates with Amazon's Selling Partner API (SP-API) and Amazon Advertising API. Once you authorise the connection through Amazon's OAuth flow, we retrieve the following categories of data from your seller account:

Sales, orders, and revenue data, including order-level detail and fulfilment information.

Advertising campaign data — spend, impressions, clicks, attributed sales, and ACoS — across Sponsored Products, Sponsored Brands, and Sponsored Display.

Inventory levels, restock alerts, and FBA storage data.

Account health metrics and performance notifications from Amazon.

Product catalogue data, including ASINs, titles, and category information.

Cost of Goods data that you upload manually through the COGS ingestion feature.

This data is used exclusively to power the analytics, dashboards, and AI-generated insights within Sellernavigator.ai. We do not analyse, sell, share, or use your Amazon business data for any purpose unrelated to operating the platform for you. Your KPIs and business performance data are treated as strictly confidential business information.

The legal basis for processing Amazon API data is the performance of our contract with you (Article 6(1)(b) GDPR). You may revoke our API access at any time through your Amazon Seller Central settings. Revoking access will disable data-dependent features of the platform but will not affect your account or billing.

3.3 Automatically Collected Technical Data

When you use Sellernavigator.ai, our servers automatically collect certain technical information. This includes:

The type and version of browser you are using.

Your operating system and device type.

Your IP address.

The pages and features within Sellernavigator.ai that you visit.

The date and time of each request.

Error logs and crash reports.

Referring URLs if you arrived via a link from another website.

This technical log data is stored separately from your personal account data and is used for platform security monitoring, debugging, and performance optimisation. We do not use it to conclude you as an individual. The legal basis is our legitimate interest in maintaining a secure and well-functioning platform (Article 6(1)(f) GDPR).

3.4 Usage and Interaction Data

We collect information about how you use the platform — which dashboards you visit, which queries you submit to the AI agent, which features you use most frequently, and how long you spend on different parts of the product. This data helps us understand which features are working well and which need improvement. It is processed based on our legitimate interest in developing and improving the platform (Article 6(1)(f) GDPR). We do not sell this usage data to third parties.

3.5 Support and Communication Data

When you contact us by email or through the support system, we store your name, email address, and the content of your message. This is necessary to handle your enquiry, track the resolution of support tickets, and maintain a record of our communications with you. This processing is based on our contract with you or on our legitimate interest in providing effective customer support (Article 6(1)(b) and (f) GDPR).

3.6 Billing and Payment Data

We collect billing information necessary to process your subscription payments. This includes your name, billing address, and payment card details. Payment card data is processed directly by our payment provider, Stripe, and is not stored on our systems. We retain transaction records (amounts, dates, subscription plans) for accounting, tax compliance, and dispute resolution purposes. The legal basis is performance of a contract and compliance with legal obligations (Article 6(1)(b) and (c) GDPR).

4. Cookies and Similar Technologies

Sellernavigator.ai uses cookies — small text files placed on your device by your browser — to make the platform work properly and to understand how it is being used. Below, we explain the types of cookies we use and what they do.

4.1 Essential Cookies

These cookies are strictly necessary for Sellernavigator.ai to function. They handle authentication (keeping you logged in), session management, and security features like CSRF protection. Without these cookies, you would not be able to use the platform. They cannot be disabled. The legal basis for essential cookies is our legitimate interest in operating a functional and secure service.

4.2 Preference Cookies

These cookies remember your settings and personalisation choices within the platform — for example, your preferred dashboard layout or display currency. They make your experience more consistent across sessions. You can disable these in your browser settings, though doing so may mean you need to re-configure your preferences each time you log in.

4.3 Analytics Cookies

We use analytics tools to understand how the platform is used in aggregate — which features are popular, where users encounter difficulty, and how performance varies over time. These cookies do not identify you as an individual. The data is processed in aggregate form only. You may opt out of analytics cookies at any time by adjusting your browser settings or using the cookie preference centre within the platform.

4.4 Managing Cookies

You can control cookie settings through your browser at any time. Most browsers allow you to block cookies entirely, delete existing cookies, or receive a notification before a cookie is placed. Please refer to your browser's help documentation for specific instructions. Note that blocking essential cookies will prevent Sellernavigator.ai from functioning correctly.

5. How We Use Your Information

The following is a complete summary of the purposes for which we process personal data and the legal basis for each:

Delivering AI-powered analytics and business insights based on your Amazon data — basis: contract performance (Art. 6(1)(b)).

Responding to support requests and enquiries — basis: contract performance and legitimate interests (Art. 6(1)(b) and (f)).

Monitoring platform security and investigating suspected misuse or fraud — basis: legitimate interests (Art. 6(1)(f)).

Improving the platform through aggregate usage analysis — basis: legitimate interests (Art. 6(1)(f)).

Complying with legal obligations, including tax and financial reporting requirements — basis: legal obligation (Art. 6(1)(c)).

Sending product update emails and newsletters, if you have opted in — basis: consent (Art. 6(1)(a)).

We do not use your personal data for automated individual decision-making that produces legal or similarly significant effects on you. The AI features within Sellernavigator.ai generate recommendations and insights, but these are informational tools to support your decisions — they do not make decisions for you.

6. Who We Share Your Data With

We do not sell your personal data. We do not share it with advertising networks. We do not provide it to data brokers. The only circumstances in which we share your information are described below.

6.1 Cloud Infrastructure — Google Cloud Platform

Sellernavigator.ai is hosted on Google Cloud Platform (GCP). Your data — including account information, Amazon API data stored in BigQuery, and application logs — resides on GCP infrastructure. Google acts as a data processor for us, processing your data only on our instructions and under contractual data protection obligations consistent with GDPR. Google's data processing terms are available at cloud.google.com/terms/data-processing-addendum.

6.2 Payment Processing — Stripe

Subscription payments are processed by Stripe Payments. When you provide your payment card details, that information goes directly to Stripe — we never see or store your full card number. Stripe processes payment data under its own privacy policy, available at stripe.com/privacy, and acts as an independent controller for payment data. We receive only a tokenised reference and your billing confirmation.

6.3 Customer Support Tools

We use third-party tools to manage customer support communications. These tools may process your name and email address as necessary to route and track support requests. All support providers are bound by data processing agreements that restrict them from using your data for any purpose other than providing the support service.

6.4 Legal Disclosures

We may disclose personal data to law enforcement agencies, regulatory authorities, courts, or other public bodies if we are legally required to do so. We may also disclose data where we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Veritas Analytica, our users, or the public. Where possible and lawful, we will notify you before making such a disclosure.

6.5 Business Transfers

In the event of a merger, acquisition, asset sale, or restructuring of Veritas Analytica, your personal data may be transferred to the acquiring entity as part of that transaction. We will notify you via email and provide you with a reasonable opportunity to review the privacy practices of the new entity before the transfer takes place.

6.6 With Your Explicit Consent

Outside of the circumstances above, we will only share your personal data with third parties if you have given us your explicit consent to do so.

7. Amazon API Integration — Specific Commitments

Because our platform is built on Amazon API integrations, we want to be especially clear about our commitments regarding the data we retrieve from your seller account.

We access your Amazon account data only after you have explicitly authorised the connection through Amazon's secure OAuth process. We do not attempt to access any data beyond the scope you have authorised.

Your Amazon business data — sales, advertising performance, inventory, and account metrics — is used solely to generate the analytics and insights you see within Sellernavigator.ai. It is not shared with other sellers, not used in any comparative benchmarking that would identify your business to others, and not disclosed to any third party for commercial purposes.

We do not use your Amazon data to train AI models that would be shared externally or used to benefit other customers. Any AI processing occurs within the scope of your own account data.

We comply with Amazon's Developer Program Policies and SP-API Use Case Policy. We do not use API data in ways that Amazon prohibits, including using it to influence Amazon pricing, to develop competing products, or to create datasets that could advantage third parties at your expense.

You can disconnect Sellernavigator.ai from your Amazon account at any time through Amazon Seller Central. Once disconnected, we will stop retrieving new data. Historical data already stored on the platform will be retained in accordance with our data retention policy described in Section 9.

8. International Data Transfers

Sellernavigator.ai stores and processes data on Google Cloud Platform infrastructure. Depending on your region and the GCP configuration in place, your data may be processed in data centres located in the United States, the European Union, or other jurisdictions. Where data is transferred outside of the European Economic Area (EEA), we ensure that appropriate safeguards are in place — including Google's standard contractual clauses — to provide a level of data protection equivalent to that required by GDPR.

If you are located in any non-EEA jurisdiction, you acknowledge that your data may be transferred to and processed in countries with different data protection frameworks. By using Sellernavigator.ai, you consent to these transfers where they are necessary to provide the service.

9. Data Retention

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected, or for as long as required by applicable law. The following retention periods apply:

Account and profile data are retained for the duration of your active subscription. If you close your account, we will delete your personal data within 90 days, except where we have a legal obligation to retain it.

Amazon API data stored in our BigQuery data warehouse is retained to provide historical trend analysis while your account is active. Following account closure, this data is deleted within 90 days.

Payment records and billing information are retained for seven years from the date of the transaction, as required for financial reporting and tax compliance purposes.

Server logs and technical data are retained for up to 12 months, after which they are automatically deleted.

Support correspondence is retained for three years from the date of resolution, in case a related dispute arises.

If you have opted in to marketing communications, we retain your email address and preferences until you unsubscribe or withdraw your consent.

After the applicable retention period expires, personal data is either securely deleted or anonymised so that it can no longer be attributed to you. If you would like to request earlier deletion, please see Section 10 below.

10. Your Rights as a Data Subject

Depending on your jurisdiction, you have several rights regarding your personal data. We have described each right below in plain language, along with how to exercise it. To make a request, please write to us at info@veritasanalytica.com. We will respond within 30 days and may need to verify your identity before processing your request.

a) Right of Confirmation and Access

You have the right to ask us whether we hold any personal data about you, and if so, to receive a copy of that data along with information about how it is being processed. This includes the categories of data we hold, the purposes for which we process it, who we share it with, how long we intend to retain it, and the rights available to you. We will provide this information free of charge, though we may charge a reasonable fee if requests are manifestly unfounded or excessive.

b) Right to Rectification

If personal data we hold about you is inaccurate or incomplete, you have the right to have it corrected without undue delay. You can update most account information directly within your Sellernavigator.ai profile. For data you cannot update yourself, please contact us, and we will correct it promptly.

c) Right to Erasure — the Right to be Forgotten

You have the right to request that we delete your personal data. We will erase it without undue delay where one of the following grounds applies: the data is no longer necessary for the purpose it was collected; you withdraw consent, and there is no other lawful basis for processing; you object to processing, and there are no overriding legitimate grounds; the data has been unlawfully processed; or erasure is required by law.

We will comply with erasure requests as quickly as possible. Note that certain data may need to be retained to meet legal obligations — for example, financial records required for tax compliance. Where we cannot fully erase data, we will explain what we are retaining and why.

d) Right to Restriction of Processing

You have the right to request that we restrict our processing of your personal data in certain circumstances — for example, if you contest the accuracy of the data and want us to pause processing while we verify it, or if the processing is unlawful but you prefer restriction over erasure. When processing is restricted, we will continue to store the data but will not actively use it until the restriction is lifted.

e) Right to Data Portability

You have the right to receive personal data that you have provided to us in a structured, commonly used, machine-readable format, and to transmit that data to another controller. This right applies where the processing is based on your consent or on a contract, and where processing is carried out by automated means. f) Right to Object

You have the right to object at any time to the processing of your personal data where that processing is based on legitimate interests (Article 6(1)(f) GDPR). If you object, we will cease processing unless we can demonstrate compelling legitimate grounds that override your interests, rights, and freedoms, or unless the processing is necessary for the establishment, exercise, or defence of legal claims.

You have an unconditional right to object to processing for direct marketing purposes. If you object, we will immediately stop using your data for marketing.

g) Rights Related to Automated Decision-Making

You have the right not to be subject to a decision based solely on automated processing — including profiling — that produces legal effects or similarly significantly affects you. As noted in Section 5, Sellernavigator.ai does not make binding decisions about you through automation. Our AI features generate recommendations and insights, but all decisions remain yours to make.

h) Right to Withdraw Consent

Where processing is based on your consent, you have the right to withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing that occurred before you withdrew consent. To withdraw consent for marketing communications, simply click the unsubscribe link in any email we send you or contact us directly.

i) Right to Lodge a Complaint

If you believe that our processing of your personal data violates applicable data protection law, you have the right to lodge a complaint with a supervisory authority. The relevant authority will depend on your country of residence. Regardless of jurisdiction, we strongly encourage you to contact us first — we take all complaints seriously and will do everything we can to resolve your concern directly.

11. Security Measures

Protecting your data is something we invest in seriously, not something we treat as a checkbox exercise. The measures we have in place include:

All data in transit between your browser and our servers is encrypted using TLS 1.2 or higher.

Data stored in BigQuery and other GCP services is encrypted at rest using AES-256 encryption managed by Google Cloud.

Access to customer data within our team is controlled on a strict need-to-know basis. Only engineers and support staff with a legitimate operational need can access customer data, and all such access is logged.

Amazon API credentials and OAuth tokens are stored in a secure secrets management system, not in application code or configuration files.

We run automated security monitoring on our Cloud Run services and receive alerts for anomalous behaviour.

Our BigQuery data architecture enforces multi-tenant isolation at the data layer using customer_id and seller_id partitioning, ensuring that your data cannot be accessed by other customers.

Despite these measures, no system connected to the internet can be guaranteed to be completely secure. If a security incident occurs that affects your personal data and is likely to result in a risk to your rights and freedoms, we will notify you and, where required, the relevant supervisory authority within the timeframes required by applicable law.

12. Marketing Communications and Newsletter

If you opt in to our newsletter or product updates, we will send you emails about new features, platform improvements, and relevant industry content. We use the double opt-in process — meaning that after you sign up, we send a confirmation email to verify that you are the owner of the address provided. Your subscription is only activated once you confirm.

We track email open rates and link clicks within our newsletters to understand what content is useful and to improve future communications. This tracking is done in aggregate where possible, and we will never share your individual engagement data with third parties.

You can unsubscribe from marketing communications at any time by clicking the unsubscribe link in any email, or by writing to us at info@veritasanalytica.com. Once you unsubscribe, we will remove you from the list within 48 hours. Unsubscribing from marketing emails does not affect transactional emails related to your account or subscription, which we will continue to send as necessary.

13. Third-Party Services and Integrations

In addition to the core service providers described in Section 6, Sellernavigator.ai may interact with or link to the following types of third-party services. We want to be transparent about these interactions.

13.1 Google Cloud Platform

All platform data — including your account information, Amazon API data in BigQuery, and application state — is hosted on Google Cloud Platform infrastructure. Google processes this data as our processor under a Data Processing Addendum. Google does not use your data for its own purposes. 13.2 Stripe — Payment Processing

Subscription payments are handled by Stripe Payments Europe, Limited, 1 Grand Canal Street Lower, Dublin 2, Ireland. Stripe is responsible for PCI-DSS-compliant processing of your payment card information. We pass your billing details to Stripe, but do not retain your card number on our own systems. Stripe's privacy policy is available at stripe.com/privacy.

13.3 Amazon Services

The SP-API and Advertising API connections are governed by your Selling Partner Agreement with Amazon and Amazon's Developer Program Policies. When you authorise the connection, Amazon processes your OAuth grant according to its own privacy practices. We encourage you to review Amazon's Privacy Notice at amazon.com/privacy.

13.4 Internal Analytics

We use internal analytics tools to monitor platform performance and usage. These tools process usage data within our own infrastructure and do not involve transmitting personal data to third-party analytics companies. Any external analytics tools we may introduce in the future will be disclosed in an updated version of this policy.

14. Legal Basis for Processing — Summary

Sellernavigator.ai includes an AI-powered conversational agent that analyses your Amazon business data and generates insights, recommendations, and answers to your questions. This AI agent operates on your data within your account context and does not make binding decisions that affect your legal rights or have similarly significant consequences.

All outputs from the AI agent are advisory in nature. You remain in full control of your business decisions. We are committed to transparency about how the AI works: it queries your BigQuery data using structured SQL, retrieves relevant metrics, and generates natural language responses. It does not have access to other customers' data and cannot influence Amazon's systems on your behalf without your explicit instruction.

As a matter of company policy, we do not use fully automated decision-making in any context that produces legal or significant effects on our users.

16. Children's Privacy

Sellernavigator.ai is a professional business analytics tool designed for Amazon sellers and their teams. It is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that personal data has been submitted by someone under 18, we will delete it promptly. If you believe that a minor has registered an account with us, please notify us at info@veritasanalytica.com.

17. Changes to This Privacy Policy

We will update this Privacy Policy from time to time as our platform evolves, as we add new service providers, or as data protection laws change. When we make material changes — changes that affect your rights or the way we use your data in a meaningful way — we will:

Send you an email notification at the address associated with your account.

In some cases, where required by law, ask for your renewed consent.

We encourage you to review this policy periodically so that you stay informed about how we protect your data. Your continued use of Sellernavigator.ai after the effective date of any changes constitutes your acceptance of the updated policy, to the extent permitted by applicable law.
